Responsibilities The Receptionist is the first point of contact for many customers of V&J, making it one of the most critical roles for delivering a high level of customer service and professional, friendly demeanor.
Responsibilities include:
Answer incoming phone calls, providing information about the shop's services, answering customer inquiries, and directing calls to the appropriate Customer Relationship Manager (CRM).
Greet and welcome customers as they enter the body shop in a friendly and professional manner, while directing them to the appropriate department or staff member Appropriately triage customer concerns and direct issues to appropriate management for escalation Gather information from customers to create initial files including:
Customer contact information Vehicle information Insurance information (if applicable) Copy of driver's license and registration Create packet for customer with the provided information inside management platforms, as well as making a physical copy of the folder for the vehicle Follow up with insurance and/or customer's on payment status, ensuring payment by specified time.
The CRM will give you the files to call on, and you will give the information back to the CRM when completed.
Execute general administrative tasks, including filing documents, managing mail and email correspondence, and other duties as assigned to contribute to the smooth operation of the body shop.
Checking Podium for customer messages during the day time File away closed workfiles in long term storage as needed Pull next business day appointments at the end of the workday Monitor the customer facing refreshments counter, keeping it stocked and clean as well as placing orders for additional products Monitor the customer bathroom to ensure it is stocked with the necessary supplies and if it needs to be cleaned get someone to clean it.
